Perfect Demo

Every audit management platform looks impressive in a demo. That is not a criticism of the vendors — it is the nature of a well-produced demonstration. The platform is configured to show its strengths. The presenter knows every feature and every shortcut. The data is clean and curated. The workflow flows. And somewhere in the audience, someone on the selection committee thinks: this is exactly what we need.


That reaction is completely understandable. It is also one of the most reliable ways to end up with the wrong system.


“Vendors demo their strengths. Your job as an evaluator is to expose their weaknesses — specifically, the weaknesses that matter in your environment, for your team, in your workflow.”


The key difference between a good selection process and an expensive mistake is simple: give the vendor a script before the demo. Instead of just listing features, provide a scenario. Ask them to show how an auditor opens a new engagement, builds a workpaper from a custom template, links it to a finding, sends it for supervisor review, and creates a draft report for the audit committee. Have them do this using your environment, your terminology, and the languages your team uses every day.


That request is reasonable. It is also the one that reveals more about a platform's real-world usability than three hours of polished demos. The gaps become visible immediately. The workflows that seem fluid in a scripted environment show their friction points when you run your scenario through them.


Reference checks matter even more than demos. A thirty-minute conversation with a current user from a similar organization — same industry, similar team size, comparable regional footprint — will tell you more than any product brochure. Ask them not what they like about the system, but what they wish they had known before they selected it. That question tends to produce the most useful answers.


The right system does not win just because it looks good in a demo. It wins because it matches how your team works, and you only see that fit when you look beyond the demo into the daily workflow.


Something to think about:

Does your vendor evaluation focus on your team’s needs or the vendor’s demo? If the answer is the latter, that needs to be corrected before the next selection decision is made.
